With more than 4,000 employees, 1,300 volunteers, 17 residential care locations and 12 community care teams, ViVa! Zorggroep is one of the largest health and social care organisations in the Kennemerland region of the Netherlands. Every day, a wide variety of communication materials are created and used across the organisation.
The search started with a practical question: how do you organise Digital Asset Management (DAM) in a way that works for a large, decentralised organisation? At the same time, it became increasingly important to gain better control over image usage and the associated GDPR permissions. It soon became clear that the organisation's needs extended far beyond Digital Asset Management alone.
During the evaluation process, ViVa! discovered that managing digital assets was only one part of a much broader challenge. Managing templates, maintaining brand consistency and supporting colleagues who create their own communication materials also required a central solution.
With the Cordeo Brand Portal, ViVa! gained a single central platform for Digital Asset Management, templates and print management. Employees can now create communication materials more easily, while the organisation maintains greater control over its brand identity and communication resources.
As Communications Advisor Masja Slootweg explains:
"We didn't want to police the brand. If colleagues enjoy creating their own communication materials, they should have the freedom to do so—but within clear guidelines."
The new way of working has also encouraged greater cost awareness. Because departments now create their own communication materials and order printed materials themselves, they think more carefully about what is genuinely needed.
ViVa!'s experience shows that successful brand management is about much more than implementing the right software. Clear processes, user-friendly templates and supporting the people who use them every day are just as important for long-term success.
